Disclosure: Unicrats Infotech is HROne's official channel partner in Mumbai — we implement and support HROne HRMS for our clients. We've written this comparison as factually as we can, verified against public pricing pages and independent G2/Capterra reviews rather than our own marketing copy, and we say plainly where Keka is the better fit.
If you're evaluating HRMS software in India, HROne and Keka show up on almost every shortlist. Both handle payroll, attendance, and compliance — the differences that actually matter are in pricing structure, AI capabilities, and where each product's rough edges show up in real customer reviews.
Quick Verdict
| Dimension | HROne | Keka |
|---|---|---|
| Pricing model | ₹99/user/month flat, all modules included, no lock-in | Tiered plans from ~₹9,999/month (Foundation, up to 100 employees) to ~₹15,999/month (Growth), plus ₹90–150 per extra employee |
| Best for | Companies wanting one flat per-user price regardless of headcount changes | Companies whose headcount sits close to a plan's employee cap |
| AI capabilities | Built-in AI Agent — 127+ HR tasks via natural-language commands in up to 3 clicks | No equivalent AI agent as of this writing |
| User reviews (G2) | Not independently benchmarked in this article | 4.5/5 across 800+ reviews — praised for UI and self-service adoption |
| Commonly reported weak points | Newer entrant relative to Keka in some review databases | Customisation ceiling, email-only support, payroll-day processing delays, mobile app sync/battery issues (per G2/Capterra reviews) |
| Local Mumbai implementation support | Yes — via Unicrats, HROne's Mumbai-based channel partner | Not offered as a dedicated local-partner model in the same way |
Pricing Compared
This is where the two products differ most structurally.
HROne charges a single flat rate — ₹99 per user per month — with every module included: payroll, attendance, leave, recruitment, performance management, expense management, employee self-service, mobile app, and the AI Agent. There are no tiers to choose between and no per-module add-ons.
Keka uses a three-tier structure, each with a base monthly fee covering up to 100 employees, then a per-additional-employee charge:
- Foundation: around ₹9,999/month for up to 100 employees, then roughly ₹90/employee beyond that
- Strength: around ₹12,999/month for up to 100 employees, then roughly ₹120/employee beyond that
- Growth: around ₹15,999/month for up to 100 employees, then roughly ₹150/employee beyond that
The practical effect: at exactly 100 employees, Keka's Foundation plan works out to roughly ₹100/employee/month — close to HROne's flat rate. But for a 20-person company, that same ₹9,999 base fee works out to roughly ₹500/employee/month, since you're paying for capacity up to 100 seats regardless of actual headcount. HROne's per-user pricing scales linearly in both directions, which tends to favour smaller teams and companies with fluctuating headcount. (Pricing on both sides changes over time — confirm current figures directly with each vendor before signing.)
Payroll & Compliance
Both platforms cover the compliance basics Indian companies need: PF, ESIC, Professional Tax, and TDS calculation with statutory filing support. Where they diverge is execution quality, based on independent review patterns rather than either vendor's own claims:
- Keka reviewers on G2 and Capterra have repeatedly flagged payroll processing slowdowns around salary day, and difficulty handling retrospective CTC changes or arrears corrections.
- HROne's compliance automation — including Maharashtra Professional Tax slabs — is positioned as a core, always-included part of the ₹99/user/month plan rather than a separate add-on.
Attendance & Mobile App
Both support biometric integration, geo-fenced mobile attendance, and shift management. Keka's mobile app has a generally positive reputation for design, but multiple Capterra and G2 reviews mention sync delays, occasional logout issues, and battery drain specifically during geofenced attendance tracking — a real concern for companies with large field or delivery teams checking in from mobile devices throughout the day.
AI Capabilities
This is the clearest differentiator. HROne includes a built-in AI Agent capable of completing over 127 HR tasks — from processing leave requests to generating compliance reports — through natural-language commands in up to three clicks. As of this writing, Keka does not offer an equivalent built-in AI agent for HR task completion. If AI-assisted HR operations are a priority for your team, this is the single biggest functional gap between the two products.
Support & Customisation
Keka holds strong review scores overall (4.5/5 on G2 across 800+ reviews), particularly for its interface and employee self-service adoption. The recurring criticisms in those same reviews center on three areas: a customisation ceiling that sometimes forces HR teams to adapt their policies to the software rather than the reverse, support that is largely email-based with slower response during weekends, and reporting that reviewers say often still needs to be exported to Excel for deeper analysis.
Which Fits Your Company
Keka may be the better fit if: your headcount sits close to one of its plan thresholds (near 100, 200, etc.), you value a polished, well-reviewed interface, and you don't need AI-assisted HR workflows.
HROne may be the better fit if: you want a single flat per-user price that doesn't require plan-tier math as you grow or shrink, you want AI-assisted task completion built in rather than bolted on, or you're specifically in Mumbai/Navi Mumbai/Thane and want a local implementation partner rather than a remote-only relationship.
Switching from Keka to HROne
If you're already on Keka and considering a switch, the process follows the same pattern as any HRMS migration: exporting employee master data, payroll history, and leave balances, running a parallel payroll cycle to reconcile figures, and cutting over once both systems match. Our HRMS buyer's guide covers the general migration approach and common pitfalls in more detail.
Next Steps
Both HROne and Keka are credible, widely used HRMS platforms in India — the right choice depends on your headcount, whether AI-assisted HR workflows matter to you, and how much you value flat, predictable per-user pricing versus a more established interface.
